PDF Retag is a service of Internet Physics, Inc.
Who we are
PDF Retag is a service of Internet Physics, Inc., a Delaware corporation (Delaware file number 10348328). In these terms, "we", "us" and "our" mean Internet Physics, Inc. acting under the name PDF Retag, and "you" means the business that receives our free document inventory or places an order with us.
Our services are for businesses only. By placing an order, you confirm that you act for a business and may bind it.
How PDF Retag works
We work by email. When you ask for something that these terms and your order confirmation do not answer, we refer it to the officers of Internet Physics, Inc., and the answer reaches you by email from john@pdfretag.com.
The free document inventory
The free document inventory costs nothing and commits you to nothing. It is not a trial: it never turns into a paid order, and we never ask for payment details to send it. We prepare at most one free document inventory for each company, identified by its website domain. We build it only from public sources, as described below, and you may use it as you wish.
In these terms, a city or county government counts as a business and its website domain identifies it. The document inventory is a private page on our website, at a long address that only the recipient of our email receives; it is not listed or linked anywhere else. It lists every PDF, Word, Excel and PowerPoint file linked from your public web pages, with each file's address, file type, page count, the page that links it and its last-modified date where your server gives it. For each file it shows whether it passes or fails automated accessibility checks (untagged, no document language, missing alt text, missing title, scanned image without text), with totals of failing files and pages by section of your site. It splits the failing files by document type (forms and applications; agendas, minutes and notices; other) and by date (last 12 months; 12 to 24 months; older than 24 months; date unknown), and it flags fillable forms and scanned files. It also holds three of your own failing documents that are not forms, fixed by us, each with a report of our checks before and after, so that you can re-test them in your own checker (Adobe Acrobat Pro's Accessibility Full Check or PAC).
We build it from your government's public website only: we read its public pages without logging in and download the public files they link. It needs nothing from you. It does not cover files behind a login or on sites that block our crawler. We send it within about 2 business days of reading your site. The document inventory is a list of check results, not a judgment about which documents you must fix: that decision is yours.
What we do for paying customers
PDF Retag batch
We remediate the PDF files you select from your document inventory that are not fillable forms and have a text layer, files up to 100 pages each. For each file we add tags, the document language and title, alt text for images that fits their context, a checked heading hierarchy, reading order, table header association (including complex tables) and bookmarks built from the headings. We re-check each file and deliver it ready to upload, named and arranged in your site's own paths so that it can replace the original, with a check report for each file and a log of the fixes made. We email the batch to you as one archive. We deliver the batch within 5 business days of the day you accept its order. A file that still fails our own check after two passes is returned unfixed, with its reason, and is not billed.
A first batch holds up to 2,000 pages. You choose its files by marking the inventory spreadsheet and returning it with your order; the order confirmation lists the files and their page count. A file's pages are counted in the file as posted on your website; that count is the one billed, whatever the page count of the fixed file. Batches are never split to fit a purchase limit. A second batch is a new order, with its own order confirmation, at the same price per page and under the same billing rules; its order confirmation states its page count and the most it can cost.
You may send editable source files for the documents you select, with your order, if you choose; otherwise we remediate the public PDF. We use source files you send only for that order and delete them after delivery. We do not need access to your website's content management system or any internal system: you upload the delivered files yourself.
Fillable forms and scanned files are listed and flagged in your document inventory; we do not remediate or bill them in a first batch.
PDF Retag monthly service
From April 26, 2027, and only to a government that has paid for a batch, we offer a monthly service. Each month we re-crawl your public site, find newly posted documents, remediate up to 300 new pages and report the rest, by email. We remediate them as described for a batch and deliver them the same way. We start with the files you name by email, then the newest. If more than 300 new pages are found in a month, the month's report lists the rest; we remediate pages beyond 300 only if you reply agreeing to them. Fillable forms and scanned files are reported and not remediated or billed.
What's not included
- No legal advice and no statement or certificate that the government is ADA compliant; the government decides its compliance position
- No web page (HTML) or app remediation
- No uploading to the government's website and no access to its CMS or internal systems
- No translation
- No remediation of fillable forms or scanned files in the first order (they are listed and flagged in the inventory and not billed), and no hand-fixing: a file still failing after two passes is returned unfixed with its reason and not billed
- No physical scanning of paper records
- No responses to formal RFPs during the demand test
- No files of more than 100 pages, and no Word, Excel or PowerPoint files (they are listed in the inventory only)
- No certificate of insurance, vendor certification or statement that a file meets any standard
Prices and billing
All prices are in US dollars and exclude any sales tax that applies by law. We bill only the events this section names; our own errors, retries and failed checks are never billed. We do not ask for payment details before you accept an order, and we start paid work only after you accept it as described in "How orders are made".
PDF Retag batch: USD 1.80 a page of a PDF file the government selects (files up to 100 pages each), billable when the delivered file passes the government's own checker (Adobe Acrobat Pro's Accessibility Full Check with no item marked "Failed", or PAC with no failed check). The government reports a failing file with its checker's report within 10 business days of delivery and we re-work it at no charge; a file still failing is not billed; a file not reported within the window is billed. A re-worked file counts as delivered again on the day we re-deliver it, so you have 10 business days from then to report it. A first batch holds up to 2,000 pages and does not exceed USD 3,600.
The billable event: a page becomes billable when the window for its file closes without a report that it fails your checker. When we deliver a batch, our delivery email tells you the window's last day, and you can report a failing file by replying to that email. Never billed: files that fail our own check before delivery, fillable forms and scanned files returned unfixed, a file still failing after re-work, re-work, and the document inventory. We bill no page beyond the batch's page count and no amount above the most its order confirmation states.
We invoice a batch once, after the 10-business-day window, for the pages of the files that pass. Invoices are sent by email and paid by ACH or check, net 30 or your government's standard terms up to net 60; payment instructions come with the invoice.
PDF Retag monthly service: from April 26, 2027, USD 600 a month for the monthly re-crawl and remediation of up to 300 newly posted pages, USD 1.80 a page beyond, invoiced monthly by email and paid by ACH or check; you may cancel by email at any time. Each month's USD 600 is charged whatever the number of new pages found, and is invoiced by email at the end of that month. Pages beyond 300 are billed only if you agreed to them by email, and only under the batch rule above: a page is billed when its delivered file passes your checker or is not reported within 10 business days. We never bill a month that starts after your cancellation takes effect or a month while the service is paused.
Automatic renewal
PDF Retag monthly service renews automatically. PDF Retag monthly service is billed at USD 600 a month for the monthly re-crawl and remediation of up to 300 newly posted pages, USD 1.80 a page beyond every month and renews automatically until you cancel. Your first charge for it is invoiced by email at the end of its first month; the service starts on the date in its order confirmation, no earlier than April 26, 2027 and only after you have paid for a batch. We start it only after you have replied to its order confirmation with the words "I agree to automatic renewal", separately from accepting the rest of the order, and we keep that reply for at least 3 years, or for 1 year after the plan ends if that is later. When it starts, we email you these terms and how to cancel. We email you at least 30 days before any change to its price, and at least once a year we email you its price, how often you are charged and how to cancel.
To cancel, reply CANCEL to any email from us, or email hello@pdfretag.com with the word CANCEL. No call, form or reason is needed, and we confirm the cancellation by email within one business day. The cancellation takes effect at the end of the current month of the service: that month's invoice is the last, with no further invoice after it.
To pause instead, reply PAUSE. While PDF Retag monthly service is paused we do no work on it and charge nothing for it. It restarts only when you reply RESUME; if you have not replied RESUME within 3 months, it ends without any further charge.
Cancelling an order
PDF Retag batch: you may cancel a batch by email at any time before we deliver it, and nothing is owed. Once a batch is delivered, its pages are billed only under the rule in "Prices and billing"; files we have not yet delivered when you cancel are not delivered or billed.
Guarantees and refunds
Every guarantee we offer, with its conditions, and our refund rule are on our guarantee page at https://pdfretag.com/guarantee. A promise that is not on that page or in your order confirmation is not a guarantee we make.
How orders are made
We send you an order confirmation by email from john@pdfretag.com. It states what we will do, the price and the guarantee that apply. An order is made when you reply to it with "Yes, I accept". The order confirmation and these terms are our whole agreement for that order; if they differ, the order confirmation applies.
You may also accept an order confirmation by emailing us, from your government's address, a purchase order for that order. If you do, the order confirmation we sent you before your purchase order and these terms govern the order, and terms printed on or attached to the purchase order do not change them.
Your responsibilities
You confirm that the information and files you send us are accurate and that you have the right to give them to us for the work you order. You use what we deliver in compliance with the laws that apply to you.
You choose the files to remediate by marking the inventory spreadsheet and returning it with your order. To have a delivered file re-worked, or to have it not billed, you report it with your checker's report within 10 business days of its delivery. You upload the delivered files to your website yourself. You decide which documents to remediate and what accessibility work your government needs. We do not offer a certificate of insurance or a vendor certification; if your purchase requires one, tell us before you accept, and we will not take that order.
Your material and our work
You keep all rights in the material you send us. Once you have paid for an order, what we deliver under it is yours to use and change. We keep the right to reuse our general methods and know-how, but not your material or your deliverables. How we handle personal information is described in our privacy policy at https://pdfretag.com/privacy.
Confidentiality
We keep the non-public information you send us confidential, use it only to do your work, and share it only with the kinds of service providers our privacy policy names. This does not cover information that is public or that you have told us we may share.
No promise of results
We promise the work described in your order, not a business result such as replies, meetings, sales or revenue, unless a guarantee on our guarantee page says otherwise. Estimates, examples and benchmarks we share are not promises.
A file that passes Acrobat's Full Check or PAC has passed those machine checks; we do not certify that any file or website meets an accessibility standard or the law, and we do not tell you what the law requires of your government. Fewer complaints, requests or claims about your documents are not promised.
Limitation of liability
Apart from the work described in your order and the guarantees on our guarantee page, we make no other warranties, express or implied. The free document inventory is provided as is.
Except for amounts you owe for work delivered, each party's total liability arising out of or relating to these terms or any order is limited to the amount you paid us under the order concerned in the 12 months before the claim arose. Neither party is liable for indirect, incidental, special or consequential losses, or for lost profits, revenue or data, even if told they were possible. Nothing in these terms limits liability that cannot be limited by law.
Ending an order
Either of us may end an order that is not yet finished, by email, if the other seriously breaks these terms and does not fix it within 15 days of being told. You then pay for the work delivered up to that point, and we refund what you paid for work not delivered.
Changes to these terms
We may change these terms by publishing a new version on this page with a new effective date. An order keeps the terms in force when it was made. For a plan that renews automatically, we email you any change at least 30 days before it applies to you, and you may cancel before then.
Governing law and disputes
These terms and every order are governed by the laws of the State of Delaware, without regard to its conflict-of-law rules. Before either of us starts a legal claim, we try for 30 days to settle the matter by email. A claim that is not settled is brought only in the state or federal courts located in Delaware, and both of us accept their jurisdiction.
General
You may not transfer an order to someone else without our agreement by email. If a court finds part of these terms unenforceable, the rest still applies. Notices under these terms are given by email: ours come from john@pdfretag.com, and yours go to hello@pdfretag.com.
